Who we are
Localdesk is a trading name of Gio Petrucci, a sole trader based in the UK ("we", "us"). We provide AI receptionist services and websites to local service businesses.

The two ways we handle personal information
- As a controller for people who visit our website, contact us, book a demo or become a client. We decide how that information is used. This policy covers it in full.
- As a processor for people who phone our clients' businesses. When Localdesk answers a call for a client, the client is the controller and we process the caller's details on their behalf and on their instructions. The client's own privacy notice also applies. See If you've phoned a business that uses Localdesk.
What we collect from website visitors, enquiries and clients
| Information | Why we use it | Lawful basis |
|---|---|---|
| Name, email, phone number, business name and details you give us when you email us or book a demo | To reply to you and run the demo | Legitimate interests (responding to enquiries) or steps before entering a contract |
| Business details, services, areas, opening hours, call-handling preferences, billing details | To set up and run your receptionist and website, and to bill you | Contract |
| Invoices and payment records | Tax and accounting | Legal obligation |
| Occasional updates about our service, sent to clients and people who have enquired | To tell you about relevant features or offers. You can opt out at any time. | Legitimate interests (and consent where the law requires it) |
Our website does not use analytics or advertising cookies. Our website host, Cloudflare, processes basic technical information such as IP addresses to deliver the site and protect it from attacks. If you book through Calendly, Calendly's own privacy policy and cookies apply on its booking page.
If you use the live demo on our website
You can try our AI receptionist in your browser on our website, or by ringing our demo line on 01752 741686. If you use either:
- Your voice is sent to Vapi and its AI speech and language providers so the receptionist can hear you and reply. On the website, nothing is sent until you press the button and allow your microphone.
- If you ring the demo line, we see the number you called from and a short summary of the call, so we can follow up about Localdesk if you were interested. Tell us if you'd rather we didn't, and we won't.
- The conversation may be recorded and transcribed. We use recordings and transcripts only to check and improve the demo, and we delete them within 90 days.
- Please don't share sensitive personal information in a demo call.
Lawful basis: legitimate interests (showing how our service works and improving it).
If you've phoned a business that uses Localdesk
Some businesses use Localdesk to answer calls they can't take themselves. When that happens:
- We collect what you tell the receptionist, such as your name, phone number, address, the work you need and how urgent it is, along with the number you called from.
- The call may be recorded and transcribed. You are told this at the start of the call.
- We send a summary, transcript and recording to the business you called, so they can get back to you.
- We use your details only to provide this service to that business. We never sell them or use them to market to you.
The business you called decides how your information is used, so please contact them first about your rights. You can also contact us and we'll pass your request on and help them deal with it.
Who we share information with
We use trusted service providers to run Localdesk. They may only use your information to provide their service to us:
- Twilio, for phone numbers, calls and text messages
- Vapi, and the AI voice, speech and language providers it uses, to answer calls (including website demo calls) and produce transcripts
- Calendly, for booking demos
- Cloudflare, which hosts our website
- Our email provider
- Our accountant and HMRC, for tax purposes
Some of these providers store data outside the UK, including in the USA. Where they do, we rely on the UK's adequacy regulations (including the UK–US data bridge) or the International Data Transfer Agreement and other safeguards approved under UK law.
We do not sell personal information.
How long we keep it
- Call recordings and transcripts: 90 days, unless the client asks us to delete them sooner or keep them longer for a specific reason
- Call summaries sent to clients: for as long as the client uses Localdesk, then deleted within 30 days of the account closing
- Enquiries that don't lead to work: up to 2 years
- Client contracts, invoices and payment records: 6 years after the end of the tax year they relate to
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the information we hold about you
- ask us to correct information that is wrong
- ask us to delete your information
- object to, or ask us to restrict, how we use it
- ask for your information in a portable format
- withdraw consent, where we rely on it
Email hello@localdeskai.co.uk to use any of these rights. We'll respond within one month.
Keeping it safe
We use providers with strong security, protect accounts with strong passwords and two-factor authentication, and limit access to the people who need it.

If you're unhappy with how we've handled your information, please contact us first. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
