Books terms of use
Last updated: 29 October 2026
These terms cover your use of Localdesk Books, provided by Gio Petrucci, trading as Localdesk ("we", "us"). Your written service agreement with us sets out the price and anything specific to you. If the two disagree, the agreement wins.
What Books does
Books connects to your QuickBooks Online company to help you keep your records: filing receipts, suggesting categories, creating and chasing invoices, and sending you a monthly summary and a pack for your accountant. Some features, such as quotes and profit per job, are extras that are only switched on if your agreement includes them. It works with your own QuickBooks subscription, which you pay Intuit for separately.
What Books doesn't do
- Books is not tax or accounting advice. Figures such as "put aside for tax" are rough guides only. Your accountant is responsible for your tax returns and advice.
- We don't submit anything to HMRC for you.
- We don't review your books for mistakes. Books flags what is missing or untidy, and your accountant checks the rest.
Your part
- Books files receipts automatically and only asks you when something doesn't add up. Glance at what it files and tap Undo if it's wrong. Books also flags anything that looks missing or untidy, such as an expense with no receipt. It does not check that your books are right: that is for you and your accountant.
- Keep your records as HMRC requires. Receipt photos saved in QuickBooks normally count, but check with your accountant.
- Only send invoices and reminders to people you actually do business with.
- Keep your phone locked. Once a phone is logged in to Books it stays logged in. If you lose it, tell us and we'll log it out.
- Only share accountant-pack links with your accountant. Anyone with the link can view that period's figures.
Availability
We work hard to keep Books running, but we can't promise it will never be unavailable, for example if QuickBooks, Cloudflare or Twilio have problems. We'll fix issues on our side as quickly as we reasonably can.
Fees and ending the service
Fees are as set out in your service agreement. You can disconnect Books at any time. Paid service ends on the notice period in your agreement.
Liability
Nothing in these terms limits liability that can't be limited by law. Otherwise, our total liability to you is limited to the fees you paid us in the three months before the problem arose, and we're not liable for indirect losses such as lost profit.
Changes
We may update these terms. If a change matters, we'll tell you before it takes effect.
Law
These terms are governed by the law of England and Wales.
